QuickBooks for Small Business: Desktop or Online?

If you run a small business, QuickBooks probably looks like the obvious choice for your books. The harder part is picking the right version, because “QuickBooks” means two quite different products: QuickBooks Online, which you rent and use in a browser, and QuickBooks Desktop, which you install on your computer. This guide compares them in plain language so you can decide which one fits your business.
Choose QuickBooks Online if you want to work from any device, share the books live with an accountant or team, and prefer a monthly subscription. Choose QuickBooks Desktop if you work mostly from one computer, want to own the software with a one-time license, need offline access, or rely on industry reports and deeper inventory tools.
The Core Difference
QuickBooks Online lives in the cloud. You log in from a browser or app, Intuit hosts your data, and you pay a recurring subscription. QuickBooks Desktop is a program installed on your computer, with your company file stored on your machine or your own network. It works without an internet connection for everyday bookkeeping, and you can buy it as a one-time license instead of renting it.
| QuickBooks Desktop | QuickBooks Online | |
|---|---|---|
| Where it runs | Installed on your computer | In your browser, on any device |
| How you pay | One-time license available | Monthly subscription |
| Internet needed | For activation, updates and bank feeds | Always |
| Working with others | Multi-user on a network, up to your license seats | Easy cloud access for team and accountant |
| Industry tools | Industry editions in Premier and Enterprise | More general, relies on add-on apps |
| Updates | You install them | Automatic |
| Platform | Windows and Mac editions | Any device with a browser |
Where QuickBooks Online Wins
- Access from anywhere. You, your bookkeeper and your accountant can all log in from different places at the same time.
- Automatic updates. There is nothing to install or maintain.
- Cloud-first features. Bank connections, automatic billing and app integrations are built around the online product.
- No computer to look after. Your data does not depend on one machine.
Where QuickBooks Desktop Wins
- Pay once. A Desktop license is a cost you pay once, not a monthly subscription that grows with your plan and headcount.
- Works offline. You can enter transactions and run reports without a connection.
- Deeper tools. Premier and Enterprise include industry-specific editions for contractors, manufacturers, retailers, nonprofits and professional services. Enterprise adds advanced inventory and pricing.
- More control of forms and reports. Desktop gives you more freedom to customize invoices and reports.
- Familiar workflow. If your bookkeeper has used Desktop for years, there is no retraining cost.

An Honest Look at the Trade-offs
Desktop is not free of drawbacks. Intuit stopped selling new Desktop subscriptions to new US customers and nudges people toward Online. It also ends its connected services (support, payroll, bank feeds and security updates) for each version on a schedule, while the core program keeps working. The services for the 2023 version ended on May 31, 2026, and for the 2024 version they are scheduled to end on May 31, 2027. If you depend on live bank feeds or Intuit payroll, factor that in. Our guide on what the discontinuation really means explains it in detail.
Online has its own trade-off: you pay for as long as you use it. If you plan to use QuickBooks for many years, the recurring cost can add up to far more than a one-time license.
How to Decide in Two Minutes
- Where do you work? Mostly from one computer: Desktop works well. From several places and devices: Online fits better.
- Who needs access? A few people on the same network: Desktop. Remote team members or an accountant who logs in often: Online.
- What is your industry? Contractors, manufacturers, retailers and nonprofits often get more from Desktop’s industry editions.
- How do you want to pay? Once, then done: Desktop. Month to month: Online.
- How big will you get? A few users: Pro Plus. Up to 5 with industry needs: Premier Plus. Larger or complex inventory: Enterprise.
Which Desktop Edition for a Small Business?
Most small businesses start with Pro Plus, which covers up to 3 users and the everyday work. Move to Premier Plus when you need industry reports or up to 5 users, and to Enterprise when you outgrow the list limits or need advanced inventory. Our guide to Pro Plus, Premier Plus and Enterprise walks through the choice, and we have separate guides to QuickBooks Premier and QuickBooks Enterprise.
Frequently Asked Questions
Is QuickBooks Desktop or Online better for a small business?
Neither is better for everyone. Online suits businesses that want cloud access and automatic updates. Desktop suits businesses that want to own the software, work offline and use industry tools. Use the checklist above to match your situation.
Can I switch from Desktop to Online later?
Yes. Intuit provides tools to move a Desktop company file to Online. It is worth checking which Desktop features you rely on first, because Online does not match all of them.
Can I use QuickBooks Desktop without a subscription?
Yes. A one-time Desktop license can be used without a recurring Intuit subscription, although connected services for older versions end on a schedule.
Do I need an internet connection for QuickBooks Desktop?
You need one to activate it, to update it and for features like bank connections. For everyday bookkeeping, such as entering transactions and running reports, you do not.
QuickBooks Online is the flexible, cloud-based rental. QuickBooks Desktop is the software you can own, with offline access and deeper industry tools. For many small businesses that work from one place and plan to use QuickBooks for years, a one-time Desktop license is the better value. For teams that work from many places, Online is the easier fit. Pick the one that matches how you actually work.
