You have your QuickBooks Desktop license, and now you just want it running. The good news is that installing and activating QuickBooks Desktop on Windows takes about 20 to 30 minutes if you prepare a few things first. The bad news is that most installation problems come from skipping that preparation: a computer that doesn’t meet the requirements, a mistyped number, or another program getting in the way. This guide walks you through the whole process in order, so you can get to your books instead of an error message.

Before You Start: Check Your Computer

QuickBooks Desktop is a traditional program that runs on your own machine, so it’s worth confirming your computer is up to the job. These are the requirements Intuit publishes for QuickBooks Desktop 2024. Requirements can differ slightly by year, so always check Intuit’s system requirements page for your exact version.

Two details catch people out. First, virtual machines and emulators are not supported, so install on the computer itself. Second, a Mac cannot run the Windows version. If you use a Mac, you need the Mac edition instead, which is a different product (see the section on Mac below).

How to Install and Activate QuickBooks Desktop, Step by Step

Step 1: Close Everything Else

Close all open programs, including your email and browser windows you don’t need. Background programs, especially antivirus tools and other accounting software, are a common cause of failed installations.

Step 2: Run the Installer

Double-click the QuickBooks installer file you downloaded. If Windows asks for permission, allow it. When the setup window opens, you’ll be asked to choose an installation type.

• Express Install is the right choice for one computer. It installs QuickBooks with standard settings, and if you’re upgrading it installs over your previous version while keeping your preferences.
• Custom and Network Options lets you choose the install location and set up multi-user access. Pick this if several people will work in the same company file over a network.

Step 3: Enter Your License and Product Numbers

When prompted, type in the license number and product number from your delivery email. Double-check each character before you continue. A single mistyped digit is the most common reason the numbers get rejected. If you’re copying and pasting, make sure no extra space comes along with the number.

Step 4: Finish the Installation

Click Next, then Install, and let the process run. It can take several minutes. When it finishes, click Open QuickBooks.

Step 5: Activate QuickBooks

QuickBooks usually prompts you to activate right after installation. If it doesn’t, open the Help menu and choose Activate QuickBooks Desktop, then follow the on-screen prompts to confirm your details. When activation succeeds, QuickBooks tells you it’s ready to use.

Step 6: Install the Latest Update

Step 7: Open or Create Your Company File

Starting fresh? Go to File > New Company and follow the setup interview. Moving from an older version? Open your existing company file and let QuickBooks update it. Always make a backup copy first, because an updated file can’t be taken back to an older version.

Express or Custom: Which One Should You Pick?

For a single computer, choose Express. It has fewer decisions to get wrong. Choose Custom and Network Options only if you plan to share the company file across several computers. In that case, the usual setup is to install QuickBooks on the computer that will hold the company file, then install it on each workstation and turn on multi-user mode. If Something Goes Wrong

• The numbers are rejected. Re-enter them slowly, matching your delivery email exactly. Check for extra spaces or look-alike characters, such as a zero and the letter O.
• The installer won’t start or stops partway. Restart the computer, close every other program, and run the installer again as an administrator. Temporarily pausing antivirus software can help, as long as you turn it back on afterwards.
• Activation fails. Check that your internet connection is working, then try again from Help > Activate QuickBooks Desktop.
